Getting Around the App
The basics that are the same no matter which role you sign in as.
Signing in
Go to the login page and enter your email and password. If you’ve just been invited as a new staff member, see Joining as a new staff member below instead — you won’t have a password yet.
Forgot your password? Use Forgot Password on the login screen. You’ll be asked for both your email and your registered mobile number — a one-time code is then sent to confirm it’s really you before you can set a new password.
The sidebar
Once logged in, the left sidebar is your main way around the app. What appears there depends on your role — see the Guide for Admins or Guide for Staff for the full breakdown. A few items are shared by everyone:
- Dashboard — your home screen after login.
- Task Tracker — the working view of every visa/flight case in progress.
- Quotations — where quotes are built and sent to customers.
- Service Prices — a read-only price list for every service the agency offers.
- Profile (top-right) — your own personal details and password.
The dashboard
The dashboard is the first thing you see after logging in, and it’s role-aware: owners get an agency-wide overview, everyone else gets a view scoped to their own work. Dashboard data loads once when you arrive rather than refreshing constantly — use the Refresh button on the page if you need the latest numbers.
Task Tracker
This is where visa and flight cases live day-to-day.
- Admins see a single filterable table listing every case across the whole agency.
- Consultants see a Kanban-style board of just the cases assigned to them, which can be dragged between stages as work progresses.
Opening a case shows its full detail — dates, notes, and (depending on your permissions) the ability to edit specific fields like appointment dates, PNR, or staff notes.
Customers
Every visa or flight case belongs to a customer record (a “client dossier”). From there you can see the customer’s contact details, documents, and full service history, add a new visa/flight request for them, or transfer them to a different staff member.
Quotations
Quotes are built through a guided 5-step wizard: pick the customer, choose the service type, fill in the visa/ticket details, review the computed pricing, then preview and generate the final quote document. Quotes move through a simple lifecycle — draft, generated, sent — and can be created in different currencies.
Reminders
Reminders keep you on top of upcoming deadlines — visa appointments, flight dates, and outstanding bills all generate their own reminders automatically, with lead times set by an admin. You can also create manual reminders for yourself. Staff see their own reminders; admins additionally have an agency-wide reminders view (see the Guide for Admins).
Your profile
Click your name/avatar to reach your profile page, open to everyone regardless of role. From here you can update your personal details and change your password at any time.
Joining as a new staff member
New hires don’t sign up themselves — an admin invites them by email first.
- You’ll receive an invite email with an activation link.
- Opening it starts a short setup flow: set your password, verify a one-time code sent to confirm your email, then fill in your personal profile (contact details, ID/passport info, address, emergency contact, and any required document uploads).
- Once that’s done, you’re taken to the login page to sign in normally with the password you just set.
If your invite link has expired or you’re having trouble activating your account, ask an admin to check your status or resend the invite.
